2. General Updates
- Cold weather impacting attendance; hopeful warmer weather will increase engagement.
- Minor technical issue with the wrong agenda open
3. Insurance correction
- ARMA now has a second policy providing personal injury cover to all members
- Committee agreed this is a fantastic benefit
4. Treasurer’s Report
- Current funds held: $3,242.61 (held with Bendigo Bank until funds are able to be transferred to now open CBA account
- Incoming monies since last meeting: $132.27
- Deduction: $121.98 Join It, paid personally by Chris Baker.
- Bendigo Bank issue: previous members removed, system requires two signatures, but only Chris is listed due to bank error.
- Chris to visit branch to rectify this
- Michelle is still possibly a signatory—Chris to liaise. No objections.
- Once Bendigo funds are transferred to CBA account ending in 5880, Chris will reimburse himself and send the receipt to the board
- $3,230.20 to be transferred from Bendigo to CBA
5. Meeting Time Change
- Proposal to move regular meeting start time to 7:30 pm
- Jason to create a Discord poll to gather member feedback.
6. Trips and Events
- Portland Dunes Event (February 2026):
- Approved for 10 cars.
- Payment not yet taken.
- Standard Parks Victoria campsite.
- Friday night arrival flexible.
- Costs pending confirmation.
- Passengers allowed.
- Chris to share full details (cost, times, etc.) on Discord.
- Second Portland Dunes Event
- Likely to be at the end of February
- Waiting on event dates.
- Chris raised possibility of splitting organisers if unable to attend both.
7. Financial Statements & SGM
- Chris to contact accountant to determine required financial statements.
- Special General Meeting (SGM) to present documents once requirements are confirmed.
- Marty had no input into this
8. Beginner Days & Growth
- High demand—Chris receiving enquiries from strangers and via ATA website.
- Discussion on beginner day structure and membership.
9. Partnership Opportunity – Vitour Tyres
- Vitour interested in expanding into the 4WD market.
- Possible discounts on tyres for beginners.
- Chris has visited their factory.
- Not equivalent to premium brands (e.g., BFG or Falken) but suitable for new drivers.
- Exploring leasing rims/tyres for beginners and potentially intermediates.
10. Temporary Memberships for Beginner Days
- Jason – Suggest temporary membership for attendees to ensure insurance coverage.
- Andrew – Cost could be built into entry/attendance fee.
- ATA model – Instead of ATA collecting fees, ATA would send participants to ATAI, and ATAI charges the fee. ATA to invoice club if needed.
- Chris – ATA will draft agreement by next meeting (8 September) ahead of event on 13 September 2025.
- Sara – Suggested if a temporary member converts to full membership before expiry, the temporary fee becomes a discount on full membership. Details (cost/time frame) to be discussed.
11. Beginner Day Frequency
- Chris – Will assess after the September event outcome.
- Ideally: 2 beginner days in spring and 2 in summer.

- Melbourne Club Weekend to be discussed at the next meeting.
